Managed IT Lifecycle. One annual fee.

Stop managing three vendors. One managed fleet refresh programme covers device supply, ongoing support, and end-of-life ITAD — all on a predictable per-device annual fee that converts your hardware CapEx into OpEx.

// The Problem

Most companies manage hardware the hard way

Separate vendors for procurement, ITAD, and support. Capital budget spikes every 3 years. Compliance documentation scattered across inboxes. It costs more than it should and takes more time than it needs to.

Vendor fragmentation

The average IT department works with 3–5 separate vendors to manage procurement, refresh, support, and ITAD. Each relationship has its own contract, invoice, and point of contact.

Budget spikes every 3 years

Traditional fleet refresh requires a large capital outlay every device lifecycle. It's unpredictable, hard to plan for, and often delayed — meaning staff work on ageing hardware longer than they should.

Compliance gaps

Without a managed ITAD programme, data destruction documentation is inconsistent. A single device leaving your premises without a certificate of destruction is a compliance liability.

// How It Works

Four stages. One managed programme.

The Refurbion managed IT lifecycle programme covers every stage of your hardware lifecycle — from initial fleet assessment through to end-of-life data destruction and value recovery.

01

Fleet Assessment

We audit your current hardware estate — device ages, specs, refresh due dates, and compliance posture. You get a full asset inventory and a prioritised refresh roadmap. No obligation.

02

Certified Device Supply

We source and deliver Grade A certified refurbished or Brand New devices matched to your spec. Pre-configured, asset-tagged, and ready to deploy. Typically 40–60% below new retail pricing.

03

Ongoing Programme Management

Your fleet runs on a predictable per-device annual fee. Includes warranty coverage, swap units for failures, quarterly reporting, and a dedicated account manager who knows your environment.

04

End-of-Life ITAD & Value Recovery

When devices are retired, we collect, wipe to NIST 800-88 standard, and issue certificates of destruction. Any residual value recovered from remarketing is credited back to your programme account.

// The Financial Case

Convert hardware CapEx into predictable OpEx

A 200-device fleet refresh every 3 years looks very different depending on how you structure it. The managed programme model consistently delivers lower total cost of ownership — and makes your CFO's job easier.

// FAQ

Common questions about managed fleet refresh

Everything you need to know about IT lifecycle management, Device as a Service, and how the Refurbion programme works in practice.

Managed fleet refresh is a programme where a single provider handles your entire hardware lifecycle — supply of new or certified refurbished devices, ongoing support and warranty, and end-of-life data destruction and recycling. Instead of managing separate vendors for procurement, ITAD, and support, you work with one partner on a predictable per-device fee.

Device as a Service (DaaS) is a consumption model where you pay a recurring per-device fee rather than purchasing hardware outright. It converts hardware from a capital expenditure (CapEx) to an operating expenditure (OpEx), giving IT finance teams a predictable annual cost and eliminating the budget spike of a full fleet refresh.

Pricing is per device per year and depends on device type, fleet size, and the services included. Typically, a full managed lifecycle programme for enterprise laptops ranges from $80–$140 per device per year — covering supply, warranty, and ITAD. Most clients see net savings of 30–50% versus managing procurement, support, and ITAD separately with new hardware.

Yes — and most IT directors are surprised by how indistinguishable Grade A certified refurbished devices are from new. Our refurbished fleet devices are inspected, tested, and warranty-backed. Many regulated-industry clients including healthcare and financial services use certified refurbished fleets. The key is having proper grading documentation and warranty terms, which we provide as standard.

The managed lifecycle programme works well for organisations with 50 to 5,000 devices. Under 50 devices, it's more cost-effective to simply purchase outright. Over 5,000 devices, we'd typically work with your IT team on a custom enterprise agreement. The sweet spot is mid-market companies — typically 100–500 employees — where procurement is a real burden but a large IT department doesn't exist to manage it internally.

Every retired device goes through NIST 800-88 Rev.1 compliant data sanitisation — either Clear, Purge, or Destroy method depending on the sensitivity classification of the asset. You receive a certificate of data destruction for every serial number processed, suitable for regulatory audit, HIPAA, GLBA, and FERPA compliance purposes.

When retired devices have residual market value, we remarket them through our wholesale and certified refurb channels. The proceeds are calculated against your programme account and credited back as a reduction on future invoices or an offset on the next refresh cycle. This closed-loop model means your cost of technology decreases over time rather than resetting with each refresh.

Yes. Many clients run hybrid fleets where senior staff or compute-intensive roles receive Brand New devices, while general workforce roles are served with Grade A certified refurbished hardware at significantly lower cost. We manage the full fleet regardless of device origin, and provide a unified asset register and support programme across both.
